eTickets allows Coordinators of an event to scan attendees into the event using an eTicket with a QR code. It will be linked to paid options and templates can be customized.
Take note, eTickets is a feature enhancement add-on to your portal. If you want to learn more about how to include eTickets to your Registration Tool, see New Feature Offer - Member Essentials eTickets.
You must have Registration Administrator or Administrator access to access eTickets.
Setting up eTickets
- Enable eTickets in the Registration Tool Manager. Choose which registration tools to enable for eTickets in the setup. Take note, eTickets will only be available if the calendar is set up as a paid event. See Enable eTickets in Registration Tool Manager.
- Create a paid event. In the Registration Tool where you enabled eTickets, create your event and set it up as Paid. See How to Configure a Paid Events Calendar.
- Create paid options. Add the paid options to your event. See How to Set Up Paid Event Options
- Create eTicket templates. Create the templates that will display the event details and QR code for the eTickets. For each paid option, a unique eTicket template must be created. See Create eTicket Templates
- Link eTickets to paid options. After your eTicket Templates are created, you can start linking it to the paid option by selecting the name of the template. See Link eTickets to Paid Options
After the eTicket templates are linked to paid options, your event will be open for registration. Attendees will register for the event like they would any paid event. Once they have made their purchase of ticket(s), they will receive an email confirmation that includes the tokenized link that will take them to a list of all tickets they have purchased when selected.
- For Coordinators of the event, they can go to Manage > eTicket Orders to see a list of all eTicket orders.
- They can view the eTickets, re-send the link to attendees, check the Redeemed status, view the QR code value and more. See Manage eTicket Orders
A few days before your event, there are some things you can do to prepare to make sure that using eTickets goes smoothly such as training and familiarization, communication with attendees, coordinating with the Member Essentials support team, event venue preparation and eTicket preparation. On the day of your event, here are some things that will ensure the event is successful such as on-site setup and support, scanning device logistics and Wi-Fi network reliability. In addition, you can address anomalies and customer issues. See eTicket Day of Event
- On the Junior League app, Coordinators can scan eTickets from the Attendance Manager.
- Here, they can see the number of attendees who have checked in and the number of eTickets available.
There is also an option to manually scan attendees from the Registration Tool. Next to the event, there is a scan option where Coordinators can manually scan the QR code. See Scanning eTickets
Event organizers may generate blank e-tickets as a contingency in case of technical issues. These can be quickly distributed if needed. When working with partners or vendors who require a ticket sample but don't need actual event details, blank e-tickets can serve as placeholders. This can be generated from eTicket Templates. *Sell at the door
- From the Registration Tool, find Manage > eTicket Templates.
- Find the template you want to generate eTickets for.
- Below the Generated eTickets column, click on Generate E-Ticket. Take note, this link will only appear if a template has been linked with a paid option.
- To generate eTickets, click on the add icon.
A Coordinator may want to manually register an Attendee for an event through the Attendance Manager. Alternatively, they can be added through Order Management. See Manually Add Attendees to an Event
