Dear Member Essentials Admins,

Hope you are having a wonderful winter and continue to make the best use of your Member Portal! There are two new features that we want you to know about: Placement Tool Enhancements and Documents on the Admin Profile.

There are also updates with Dues Collection and new requirements for email providers such as MailChimp.

NEW! Placement Tool Enhancements for 2024

We have released new features for the Placement Tool.  The Tool now has two modes:

  • Placement Matching - this is the traditional mode, allowing the system to recommend placements to members based on their skills and availability.  Placement Matching mode also includes Discovery questions where members can answer specific questions about their placements.  Note – unlike previous years, members are not required to answer the Discovery questions.
  • Placement Sign-up – this is a simplified version allowing the member to browse an online placement catalog and make placement selections.

Please see What Is the Placement Tool? Step by Step Guide. If you have any questions, email [email protected].

New Documents Features on the Admin Profile

We have added two new features to the Admin Profile – Documents and Confidential Documents. This allows Administrators to attach documents to a Member’s profile. The Documents feature is viewable by Member Administrators and Administrators. See Documents

Confidential Documents requires an Administrator to have the Member Administrator Confidential access level to upload confidential files such as disciplinary action, termination documents, termination documents or general documents. See Confidential Documents

Dues Collection 2024-2025 for Member Essentials Plus

Following up on our previous email, please use the following guide to set up your dues collection for 2024-2025. We encourage you to schedule time with the support team to review your dues setup before starting collection Dues Management Step by Step - January 2024

Also, we have received questions about "tax receipts" for dues payments. Member Essentials does not issue tax receipts, but when a member pays dues, she receives a dues payment confirmation, and a credit card payment receipt (two emails). In most cases, these are acceptable by the IRS for tax deductions for dues.  If you are using Little Green Light for donor management, you can sync your dues payments to LGL and issue tax statements.

For Member Essentials, we do have a way you can add additional information to the default dues confirmation email.  You can include information in the footer of the email providing guidance to members on the tax deductibility of dues payment, along with your League's tax ID.  Tax deductions for dues payments varies by state/province and League.  Please check with your League accountant before guiding members on deducting dues payments. If you would like to add information to the footer of your dues confirmation, please send a final version to [email protected] and mention “Dues Confirmation Footer” in the subject.

New Requirements for Email Providers

In order to combat email spam and spoofing attacks, email providers like Gmail and Yahoo are requiring specific settings to your League’s domain record e.g. jlanycity.org.  This allows a receiving email system to confirm that an email actually came from your domain and is not “spoofed” i.e. faked.

If you are using Google Workspace, Microsoft 365, Mailchimp or some other provider to send email using your League’s domain e.g. [email protected], you will need to make this change.  For those Leagues using a Member Essentials public site, the ME support team can make the appropriate change to your domain. See Mailchimp Security to Prevent Spam

If your public site is with Digital Cheetah, please contact them for assistance by submitting a ticket in the Digital Cheetah support portal or follow these instructions.

Best,
