IMPORTANT INFORMATION ABOUT DUES MANAGEMENT
- Dues Enhancements - There will be a new way to manage dues. To address the complexity and variety with which Junior Leagues collect and track dues, there will be new features coming to dues management.
The new features are designed to address issues with the current dues model, which include:- Dues are tracked solely through requirements management. Some Leagues don’t track requirements, but are forced to use the requirements system to collect dues.
- Some Leagues collect dues as a requirement in the year before the membership year, e.g., collection for 2024-2025 dues as a requirement for 2023-2024. However, since requirements are assigned to a specific year, once the new year starts, the requirement no longer shows on the member’s list, even if the member has not yet paid dues.
- Some Leagues collect dues as a requirement for the membership year, e.g. collection of 2024-2025 dues is a requirement for 2024-2025. This allows the member to see her dues payment status for the current year. However, if the League wants to start
collecting dues before the year begins, there is no way to display that requirement.
- Dues are tracked solely through requirements management. Some Leagues don’t track requirements, but are forced to use the requirements system to collect dues.
To address these issues and better accommodate the different workflows for dues management, the new enhancements will provide the following.
- Dues will no longer be connected to requirements/obligations. Leagues will be able to begin and end collection for a specific year at any time. Members will see the year for which dues are currently being collected, as well as their dues payment status for past years. This will be displayed right above requirements on the member home page.
- All the tools and features needed for dues management will be available in a single dues management tool.
- A new screen will show all members, with their dues payment status, and allow Leagues to quickly email members that have not yet paid.
The new features are scheduled to be available in January 2024. These changes will not affect how Dues Definitions are set up and the method for collection. If your League needs to start collecting dues for 2024-2025 before then, you can do that. However, do not use the Pay Membership Dues requirement, as that will no longer automatically fulfill dues once the new features are released.
MORE NEW FEATURES NOW AVAILABLE
- The Matrix - Create ad hoc or custom queries through a new query builder tool. You can add fields, save a report, filter, sort and export results from the Matrix. Learn more HERE. This is an initial release; the team is hard at work to make additional data fields available in the Matrix.
- Stripe Payout Reconciliation – It is now possible to reconcile transactions to your Stripe payouts. Payout dates are now shown in the Stripe Admin tool. Also, the Reconcile feature of the Stripe Admin tool lets you create batches of transactions included in a Stripe Payout. See Reconciling Transactions to Stripe Payouts
- Order Management – A new Order Management tool enables a new way to enter off-line payments including check, cash, Venmo, etc. The tool can also be used to enter a credit card payment on behalf of a member. See Add New Order on a Member's Behalf (Check, Cash, or Credit)
