The Intake system is used for the onboarding of Prospects into Member Essentials Plus. Prospects will receive a link via email where they can create an account with the Member Portal or JL.org. Then, they will be taken to an Entry Point page, where they will see all the steps they need to take to complete the Intake process. See Introduction to Intake

Intake Steps for Workflow/Path

1) If you would like to use this feature, please send your League's Intake steps or workflow to MemberEssentials@ajli.org and we will set it up in the Path Manager. In your request, please include the name of the steps, type and any additional information that is needed.

2) For the Related Pages, we will create a blank template, and someone from your League can complete the rest. Here are some common pages that needs to be built:

  • Form Builder 
    • We will set up a form such as Intake - Update or Complete Your Profile and send you the name of the Form to edit. 
      • *Take note, the form cannot be a Public Form. The step won't be completed if the application form is set to the Public.
    • Your Membership VP or Admin can add the fields to a form. 
  • Simple Store 
    • We will set up a Simple Store page such as New Member Application Fee and send you the name of the Page to edit.
    • Your Treasurer or Admin can update the banner, add a description and add the fees.
  • Registrations
    • For any registration type steps, please send us the link to the events/meetings by copying the link from the browser.

Once we've received your Intake steps, we might have additional questions before we complete your workflow. After we set up your workflow, the next step is to create an Entry Point.


Creating an Initial Application for Prospects

  1. Entry Point Manager is where you can create an initial application for a new incoming member class or type of incoming Member. Here, you can actually configure the title of the initial application/interest indicator and the Welcome Message displayed below it. You can add text to the Prospective Member Homepage, set which status they receive upon completing their steps, choose the Workflow and even customize the email that is sent when the Prospective Member completes their Intake Path. 



  1. Once you have configured your Entry Point, you can copy the link and publish it to your Public Site, social media page or in an email. For the Public Site, typically the link is published in the Join Us page

How Prospects Fill Out the Application Form

  1. A Prospective member will click on the link you provided for them or the Apply Now button on the Join Us page from your Public Site. They will fill out an initial application with their Name and Contact Information. In addition, they will be able to create a username and password under Create Your Account to log in to the Member Portal. 

  2. After they submit this form, they will receive a confirmation email acknowledging that the application has been submitted. It will look something like this:

  3. In order to activate their account, they need to click on the link provided in the email, and they will be redirected to the homepage or Entry Point.


How Prospects See the Entry Point or Intake Landing Page

  1. The Entry Point is where Prospects will be asked to complete a series of steps to complete the application process.
     
  2. After they complete one of the steps listed, it will be checked off on this page. To complete each step, click on the step name. 
    • Take note, a step will not be available until the prior step is complete.  After completing a step, Prospects can select "HOME", or click on The Junior League headline at the top of the screen to return to this checklist.
  3. To continue the application at a later time, Prospects can always log back in to JL.org to complete the rest of the steps.

Intake Manager for Administrators

The Intake Manager is where Administrators can monitor all of the Prospective Members as they go through a variety of path steps set up for them to become a full Member in your system. You can review their Profile information, review progress towards completing their steps, and also approve steps on their behalf as an Administrator. 


Final Steps for Prospects

Once they have completed all the steps, Prospects will become an active member in the portal. Typically, Prospects become Provisionals, but they can also be set to Actives depending on your League. When you set up an entry point, the *Final Status Assigned Upon Completion of Steps field is where the final status is set. 


The most common status after Prospects complete their steps is Provisional Pending.


Whether or not the Prospect becomes a Provisional at the end of the path depends on the League. Some Leagues want the Prospect to immediately become a member (i.e. Provisional/New Member). 

However, other Leagues do not want the Prospect to be considered a full member until the start of the new League Year, e.g. they complete Intake in April but shouldn't be a Member until the year starts on June 1st.  In this case, you can create a status e.g. Provisional Pending, with a type of Prospect, and make that the Final Status.  And then on June 1st, the Admin has to do a Mass Status Assign of Provisional Pending to Provisional.  


Provisional Pending with Portal Access is another status that is similar, except it allows the Prospect to access the portal before becoming an official Member.
