As AJLI has been moving Leagues to a standard data model with Member Essentials, there are Members who do not have their Member Join Date in the expected location.
On the Admin Profile (Admin > Member Search), find a Member's profile and select Engagement > Volunteer/Employer Status, which will show all the statuses assigned to the Member.
From this example, because this Member does not have a Join Date or Provisional Date, the Query Tool will not be able to calculate the Years of Service.
How to Improve Member Records:
In the Query Tool, for the Member Year Joined - Provisional/Join Date - From Status History - Current Members report, the system is not able to find a Provisional Date or Join Date for Members with missing dates.
For these Members, their profile's record may have moved between multiple member systems. The member record might have a Provisional date that can be derived from the Activity Log. Here is an example of a Sustainer, where the Activity Log does capture their Provisional year.
From the Query Tool, find the Member Year Joined - Provisional/Join Date - From Activity Log - Current Members report. This report might show missing Provisional dates for Members. If the Provisional date is found, it can be added to the Member's profile. After it is added, it will be available for the various reports.
How to Correct Member Status Records:
Go to the Admin Profile (or click on the magnifying glass on the left) and find the Member's profile. Then, click on Engagement Information > Volunteer/Employee Status > Add new status.
Enter the status and date. Then, click on submit to save your changes. Take note, it will take overnight for the system to update the status change.
If the Provisional Date is not available in the Activity Log, you can use the Member Active Date – From Activity Log – Current Members report. While it doesn’t provide the Provisional Date directly, the Active Date can help you find a good estimate for the Provisional Date.
Alternatively, if the League maintains other documentation that includes this information, it should be used to update and complete the Member’s profile. Ideally, all Members should have complete historical Provisional and Active dates for accurate League reporting.
