On the day of the event, the Coordinator can use their phone to go in the Junior League app and find the Attendance Manager where they can scan attendees, see the number of attendees who have checked in and the number of eTickets available


Required access:

You must be a Coordinator of an event to scan eTickets.


How to get there:

  • Log in to the Junior League app.
  • Select Attendance Manager
     

Steps to be taken:

  1. Find the event you are managing.
  2. Swipe to the left to see the option to scan.
  3. Click on Scan to open up the scanner.
  4. Scan the QR code from an eTicket.
  5. You will see a Success return message when an attendee has been successfully scanned in. 
  6. When the Admin scans the QR code, and the return is Success, this will update the option in the eTicket Orders page below the Redeemed column.
  7. When the ticket is scanned, then the attendee will be marked as Attended in the Attendance Manager.
  8. If the ticket is scanned and is a blank generated ticket, then the number of Redeemed tickets will be updated on the Generated eTickets table.
  9. You will also see a message “Max Scan Count Reached” if the max number of scans have been reached for a particular ticket, which can be set up in eTicket Templates.
  10. If the status of the attendance is set to “Cancelled”, then the scan for the eTicket for that attendee will returned as “Registration was Cancelled. ETicket is invalid.” Take note, even though the registration is invalid due to the cancellation, the system will still show a "Success" message along with a green check icon in the app. This is because the scan was technically successful—meaning the eTicket was scanned —but the status of the registration overrides the validity of the ticket.

Manual Scan Option

  1. If a Registration Administrator wants to manually scan in attendees, they will go to Admin > Member Management > Registration Tool Manager > Manage.  
  2. Find the event you are managing.
  3. There is a column called “Scan” between the Time & Attendees.
  4. A new window will display a field called “Scan Ticket” where the Admin can enter the QR code number.
  5. The QR code can be found in the eTicket Orders table, in the “QR Code Value” column OR on the eTicket, in the “Eticket Value” field. 
  6. Select submit to complete the scan.

Manually entering a QR code number to scan people into an event offers several benefits:

  • If a scanner has trouble reading the QR code due to low print quality, screen glare, or damage, manually entering the number ensures that attendees can still be checked in. 

  • In cases where the scanning device is slow or there's a large queue, entering the number manually can sometimes be quicker, especially if the device or network is lagging. 

  • Having a manual entry option provides a fail-safe against device malfunctions, app crashes, or other unforeseen technical issues, ensuring the event check-in process continues smoothly.
