You can use the Intake Manager to email the Prospect to determine if they intend to continue Intake. Then, you can either delete or inactivate their accounts.
Required Access:
You will need Intake Administrator or Administrator access level.
How to get there:
- Go to Admin > Member Management
- Find Intake Manager
Steps to be Taken:
If you want to remove the Prospect from Intake, there are two options:
- Use Delete to remove the Prospect record from Intake and delete the Prospect profile. If the Prospect wanted to resume Intake at a later time, she would need to create a new profile, i.e. start over.
- Use Inactivate to remove the Prospect record from Intake, but keep the Prospect's profile in the database. When you inactivate an account, you will be prompted to assign an inactivation status.
It's recommend you create a status for this purpose, e.g. Prospect - Inactivated, which should use a status type (i.e. Parent Status) of Dropped. See Create Local Statuses (Member Essentials Plus)- This allows you to do further outreach to the Prospect, and to put her back on an Intake path, in which case, the Prospect would repeat the Intake steps, except for creating her profile.
- To put an inactivated Prospect back on an Intake path, set her status back to a Prospect status, e.g. Prospect - Fall, and assign the path in the profile. See Updating a Prospect's Entry Point
Inactivating Multiple Prospects
- If you need to inactivate multiple Prospects, besides their name, you will find a checkbox. You can select multiple names or select all next to the Actions label.
- After you have selected the names, there is an inactivate icon you can use to mass assign an inactive status such as Prospect - Inactive.
- All the Prospects you inactivated will be removed from the Intake Manger. If you need to reinstate their records, you can set the Include Inactive Members field to Yes in the Admin Directory.
