Before you launch your placements for the year, check to see that your League's Year-specific and Member Access Settings are configured to reflect what the League has decided for the Placement Tool for the year.



Year-specific Settings

Go to the Administrative Queue and Settings. Click on Year-specific Settings to check the following:

  • Operating Mode: Did you check off the correct Operating Mode option the League decided to use for Placement? You may not change this selection after launching Placement to Members.

  • Welcome Message: Have you customized the message Members see first when they first log on to the Placement Tool? And removed any placeholder text in brackets?

  • Finalize Message: Have you done the same with the message Members see when they complete the process in the Placement Tool? And removed the text in brackets?

  • Operating Procedures: If you want to ask Members to visit your website to read the League's operating procedures (and pay their dues), have you included the link to the website?

  • Skills: Have you deselected tags from the Skills for which your League does not currently offer  placements?

  • Hours Selection: Have you checked off all of the hour ranges your League is offering? If not using Hours Selection for your placements, have you unselected all hour ranges?

  • Placement Rank: Have you entered the minimum and maximum number of placements a Member can choose?
  • Availability Filter: Have you checked off all of the Availability options your League is offering? If not using Availability for your placements, have you unselected all items under Availability?

  • Seasonal Filter: Have you checked off all of the Seasonal options your League is offering? If not using Seasonal attributes for your placements, have you unselected all items under Seasonal?
  • Location: Have indicated the locations in which Placements are offered? If you don't specify locations, have you removed all locations from the Location filter?
  • Exploratory Conversations Registration: If you offer conversations with Members regarding their placement selection, have you entered the link to the registration form?
  • Placement Waves: Have you added all of the Waves your League has decided to use for the year?

Always SAVE changes or they will be lost!



Member Access Settings

Go to the Administrative Queue and Settings. Click on Member Access Settings to check the following:

  • Year-to-Manage Drop-down: Is the drop-down displaying the League year for which you are opening Placement to Members?

  • Member Access: Have you set this to "On" to turn your system on and enable Members to access the Placement Tool? (Note that you can customize the message Members see when the system is set to "Off.")

  • Select Year to Display to Members: Have you selected the correct year (i.e., the League year for which you are opening Placement)? 
  • Member Access Link: Have you copied this link to share with Members via email or your website? The link allows Members to open the Placement Tool and begin the process. Only those with the link may view the League’s placements.
  • Reminder Emails: Have you selected the option the League has decided to use with regard to reminder emails going to Members?
  • Daily Summary Emails: Have you included the email addresses of those who should receive the daily summary emails? These emails summarize changes made to placements in the Placement Tool.


  • Current Wave: Have you switched to the Wave with which you are opening the Placement Tool? 
    • If you are launching placements in more than one wave, select the Wave that you wish to be visible to Members. Only placements tagged with the specific wave selected will be visible
    • When your next round of placements is set to open, switch to the Wave that will be visible next

  • Group With Access to Selected Wave: Have you selected the Access Group that is assigned to the Current Wave? This is optional.
  • Member Essentials Leagues may create groups of Members (e.g., New Members, Transfers) and assign access to the Current Wave by these groups 
  • When you change Waves, you may change the Access Group as well
