Year-specific Settings are the different configurations that need to be set in the Placement Tool at the beginning of each year. They apply to all Placements for that League year.
Begin by ensuring you are editing the correct League year by selecting it from the Year-to-Manage drop down.
Go to Settings icon and choose Year-specific Settings.
You may Save your work at any time by scrolling to the bottom of the screen and clicking SAVE.
Do not leave the Year-specific Settings page without hitting SAVE, or you will lose your updates.
Select Operating Mode (Required)
There are two modes of operation for the Placement Tool.
1. Placement Sign-up Mode: Leagues bypass the matching aspects of the Tool and present Members with an online catalog from which they select their Placements and rank them in order of preference.
2. Placement Matching Mode: Leagues operate the tool as originally designed, matching Members to League placements using Members’ input. Matching Mode is the default setting.
When configuring Year-specific Settings, Leagues must choose the mode they will use for all of their Placements and waves. Leagues may not switch modes after launching the Tool to Members.
Set Up One-on-One Exploratory Conversations (Required - for Placement Matching Mode only)
Leagues may want to have interview-type conversations with Members regarding their Placement goals. The Year-specific Settings allows Leagues to do one of the following for these Member conversations:
- Enable
- Disable
- Require
- Selection of one option is required
The One-on-One Conversation is for Leagues choosing Placement Matching Mode.
Welcome Message (Required)
This is the text Members will see when they first open the Placement Tool to begin the placement process. The message appears on the landing page in both Placement Matching and Placement Sign-up modes.
- AJLI has drafted placeholder text, but Leagues should customize the message
- Make sure to remove or replace any placeholder text in brackets
Introduction Message (Required)
The League decides what to include in this message. Some Leagues choose to include instructions for Members; others adapt a Member agreement similar to this:
Finalize Message (Required)
This message will display when the Members have completed the six steps of the process in Placement Matching mode or the four steps in Placement Sign-up mode, after ranking their placements.
- AJLI has drafted placeholder text, but Leagues should customize the message
- Make sure to remove or replace any placeholder text in brackets
Compact Additions (Optional)
Now that the 2024 enhancements have given Leagues complete editing authority over the Introduction Message screen (formerly, the Member Compact screen), you may skip this step. Please leave all Compact Addition fields blank.
Operating Procedures (Optional)
Leagues may want to add a link to their online operating procedures, including where to pay dues.
Skills (Required)
Skills development is an important purpose of Junior League Member placements. The Placement Tool requires Leagues to describe their placements using one or more Skills tags provided in the Tool. Skills tagging is required for both Placement Matching and Placement Sign-up modes.
- In Year-specific Settings, under the Skills menu, Placement Admins will need to remove Skills tags not applicable to the placements the League is offering for the year
- By default, all Skills are tagged. To remove Skills tags for the year, uncheck any that are not applicable
Members & Skills Tags:
- In Placement Matching mode, Members are required to enter the skills they are interested in developing and their level of proficiency in each
- In Placement Matching mode, Members will see recommended placements based on the skills they selected
- In Placement Sign-up mode, Members will see the Skills tags the League has used to describe placements but will not have gone through the Skills selection step
Hours Selection (Required)
A key step in describing placements, Hourly Selection must be set in the Year-specific Settings for the year.
Here are your options:
- Check off all hourly ranges offered by your League’s placements for the new year. Uncheck hourly options that are not offered in the coming year’s placements
- For Leagues not using hourly commitments to define placements, make sure that all hourly check boxes are unselected
The Member will see the following: Placement Matching:
- For Placement Matching Leagues - Using Hourly Selection: The Member selects her annual hourly commitment in the Discovery Step and will be matched to placements tagged with hourly buckets at or below her selected hours
- For Placement Matching Leagues - Not Using Hourly Selection: In place of the Hourly selection drop-down, Members will see “No Preference” and will not be able to make a selection and will not be matched using Hours
The Member will see the following: Placement Sign-up mode:
- For Placement Sign-up Leagues Using Hourly Selection: Members will see hourly ranges tagged to placements in the Select Placements Step but will not have gone through the Hourly selection step
- Placement Sign-up Leagues Not Using Hourly Selection: Members will not see hourly ranges tagged to placements when they are on the Select Placements Step
Placement Rank (Required)
This Year-specific Setting is for both Placement Matching and Placement Sign-up modes. It sets the minimum and maximum number of placements a Member may select.
- For example, if the League wants Members to choose a minimum of 3 and a maximum of 5 placements in the Rank Placements Step, set min/max accordingly
- If the League wants Members to select three placements, then the min and max would both be the same, 3
Availability & Seasonal Availability Filters (Required)
These two Year-specific Setting are for both Placement Matching and Placement Sign-up modes. They set the different times of the day and time of year during which placements are offered for the year.
A placement may have more than one time of day (e.g., evenings and weekends)
Here are your options:
- Check off all items in the Availability and Seasonal Availability Filters that reflect placements offered by your for the new year. Uncheck items that are not offered in the coming year’s placements
- For Leagues not using Availability and/or Seasonal Availability Filters to define placements, make sure that all check boxes are unselected
The Member will see the following: Placement Matching mode:
- For Placement Matching Leagues - Using the Availability and Seasonal Availability Filters: The Member selects Availability and Seasonal Availability in the Online Discovery Step and will be matched to placements tagged with corresponding Availability tags
- The Tool matches Availability using an “OR” logic, that is, if a Member says she is available Business Hours and Weekends, she will see placements tagged with either or both times
- The Tool matches Seasonal Availability with an “AND” logic, that is, if a Member selects Fall, and you tag a placement with Year Round, she will not match with that placement
- For Placement Matching Leagues - Not Using Availability and Seasonal Availability Filters: In place of the Availability and Seasonal Availability selection drop-downs, Members will see “No Preference” and will not be able to make selection
The Member will see the following: Placement Sign-up mode:
- For Placement Sign-up Leagues Using Availability and Seasonal Availability Filters: Members will see Availability and Seasonal Availability tagged to placements in the Select Placements Step but will not have gone through the Availability selection steps
- Placement Sign-up Leagues Not Using Availability and Seasonal Availability Filters: Members will not see Availability and Seasonal Availability tagged to placements when they are on the Select Placements Step
Location Filter (Optional)
This Year-specific Setting allows Leagues to add location information for up to 20 custom locations (e.g., Downtown, 123 Main Street, in-person ,hybrid, or virtual). If you do not prefer to add location individually to each placement, you may leave this blank.
Exploratory Conversation Registration (Optional)
If the League has elected to have exploratory conversations with Members regarding their placements, use this Year-specific Setting to provide a scheduling link (i.e., Digital Cheetah, Doodle poll, etc.). Leave blank if the League is using Sign-up Mode or will not have these for the year.
Placement Waves (Optional)
This Year-specific setting allows Leagues to add Waves for the year to separate their placements into different groupings that may be released at different times to different groups of Members (e.g., New Members, Community, Transfers).
- If you do not choose to use the Waves feature, “General Placement” will be selected by default.
- To add a wave, click “Add New Wave” to submit the name of the wave.
See the Tagging Placements section to learn more about adding waves.
Save: Do not forget to click the SAVE button to save your changes; if you exit without saving, all changes will be lost.
