The Intake Manager is where Administrators can monitor all of the Prospective Members as they go through a variety of path steps set up for them to become a full Member in your system. You can review their Profile information, review progress towards completing their steps, and also approve steps on their behalf as an Administrator.


Required Access:

You will need Intake Administrator or Administrator access level. 


How to get there:

  • Go to Admin > Member Management
  • Find Intake Manager

After having navigated to the Intake Manager, you will see several columns of information related to your Prospective members. 


Intake Manager Columns

  • Actions - Inactivate/Delete - the inactivate button lets Admins select an Inactive status for the Prospect such as Dropped. This will remove them from the Intake Path, and prevent any accidental deletions from the system. If you want to remove them completely from the system, you can click on the X to delete.
  • Checkbox - allows Admins to select Prospects and apply actions from the top menu bar such as Inactive Accounts, Change Entry Point and Email Accounts 
  • Name - The name of the Prospective Member.
  • Entry Point - The Entry Point the Member used to start filling out their application. (ex) New Member - Spring
  • Status - The current Prospective status.
  • Notes - Any notes added by an Administrator on their behalf.
  • # Days - The time elapsed since a Prospect started their application. 
  • Progress - If you hover over the red bar, this will display the percentage of a Prospect's progress or how far they have completed the steps 


Intake Manager Menus

If you hover over the menu items at the top of the Intake Manager, you will see a label of the different options of filters and managing Intake (from left to right):

  • Refresh - will refresh the filters
  • Columns - you can choose which columns to display on this page
  • Clear Filters - will clear or reset the filters for this page
  • Inactivate Accounts - if you select a few members, this button will allow you to inactivate multiple Prospects 
  • Save Filters - saves the filter you set up. (ex) if Entry Point was set to New Member Spring and you navigate away from the page, the next time you enter the Intake Manager, this will be the filter by default
  • View Query Tool - this will generate a report in the Query Tool of the Prospects on this list

  • Change Entry Point/Email Accounts - after you select multiple Prospects by marking off the checkbox, you can:
    • Change Entry Point - select multiple members to change the entry point for
    • Email Accounts - select which Members to email. This will redirect you to the Email Tool.

Path Progress Page


To view the a Prospect's path progress page, click on the red progress bar.

On the Path Progress page, you will see that there are 2 out of 5 steps completed. You can also see how they were approved (system or Administrator) and the date they were completed.

Manually Approving a Step

  1. Click the Approve/Edit button. 
  2. Change Step Completed to Yes
  3. Click Save, which manually fulfills a step on behalf of a Prospective Member.

Generating a Report


Go back to the main page of the Intake Manager and find the View Query Tool button, which is an option to run a report. This will generate a report in the Query Tool of all the people who are currently Prospects on an Intake path.

From here, the Excel button exports a report to Excel and Email will redirect you to the Email Tool, where you can send a mass email.

If there are any columns you do not want to view on this Query Tool page, you can click on the 'X' or delete icons next to the column name.
