The Intake Management system is used for the onboarding of member prospects to Provisional/New Members in Member Essentials Plus. If you would like to use this feature, please contact MemberEssentials@ajli.org to get started.


Required access:

You will need Intake Administrator and Member Administrator or Administrator access level. Intake Administrators will be able to access the Intake Manager. Member Administrator allows you to access the Admin Profile to actually make changes to Members' contact information, status, position, etc.


How to get there:

  • Go to Admin > Member Management
  • Find Intake Manager


Overview

The Intake Process for a New Member

  1. The prospective member fills out the initial form—this form collects basic contact information and a birth date.  The prospect is also prompted to create a username and password to log in.  A profile is created in the system - this is a prospect profile.  
  2. The prospect receives a confirmation email used to validate her email address.  
  3. The prospect logs into Member Essentials and sees the "intake portal".  Prospects do not have access to the full member portal. 
  4. The prospect completes a series of steps (the Intake Path) as defined by your League. 
  5. Once they've completed all of their steps, the member status is changed to a Provisional/New Member status. 


Example of an Intake Path:

  • Complete Interest Form and Create Profile (always the first step)
  • Complete Member Application
  • Pay Application Fee
  • Register for New Member Information Session
  • Wait for Member Acceptance
  • Pay Dues


The Intake Process for Administrators

Create the Intake Path

The Intake Path is created by the JL Support team in consultation with your League.  The support team can discuss the possible options for the steps to be included in the path.  Please contact MemberEssentials@ajli.org to get started. 

Entry Point Management

Entry Point Management is where you create a new incoming member class or type of incoming Member. This is the first step for your Administrators. Here, you can actually configure the title of the initial application/interest indicator and the Welcome Message displayed below it. 


You can add text to the Prospective Member Homepage, set which status they receive upon completing their steps, and even customize the email that is sent when the Prospective Member completes their Intake Path.

For Local Statuses, you have the option to set it to the Parent Status of "Prospect" in Status Management.

Intake Manager

The Intake Manager is where you will likely be spending most of your time as an Administrator after the initial configuration. This is where Prospective Members will remain until they've completed their steps. 

The Intake Manager includes helpful information like a Member's Name, Entry Point, Status, Notes, Progress Status, the number of days they've been working on their steps, as well as how far along in the Intake Path they are. This is also where you can manually approve steps to push the Prospective forward in their path.
