This article discusses how to access the Admin settings in GroupShare as a Leader. By default, only the Directory and Admin icons are available. The Admin page will let you configure which features to enable.


Required Access:

You must be a Leader of the GroupShare group


Where to go:

  1.  Find your GroupShare group by going to My Groups > choose your group.
  2. If you are the Leader of your GroupShare group, you will be able to see an Admin icon. Click on this tool to access the Admin Configuration Panel.
     
  3. Here are the tools available for your group:
    • Home - homepage of GroupShare group

    • Calendar - Creating a group event not only lists the event at your group’s Calendar tab but also enables additional functionality, such as making the event required for all members, requesting RSVP for an event, tracking attendance at the event, printing an event sign-in sheet, and emailing those who attended. 

    • News - Posting group news items can help keep Members engaged by showing them how they are supporting their local communities.  You can include such items as press releases that involve your activity; stories and recaps of past events, projects, and response efforts; meeting minutes; and past emails or newsletter items. 

    • Discussions - Discussions encourage member engagement by providing a place where group members can respond to one another’s ideas, where group leaders can welcome members to the group and where all group members and leaders can communicate with one another in an open forum. 

    • Notebook - The Notebook is available for Leaders and it provides a place where the group’s leaders can communicate with one another outside of the view of the group’s members. 

    • Tasks - Create and manage tasks to make it easy for your group's Leaders and Administrators to track responsibilities and deadlines. You can assign a task to a Member or Leader and track it to its completion.

    • Online Forms - Online forms provide a ready way for you to gather information or feedback from your group’s members. You might want to gather feedback regarding the group and its work, gauge interest in upcoming events, ask about preferred meeting times, or request nominations for Member of the Month. 

    • Files - Documents and other files that you post are easily accessed by the group’s members. They can reach posted files—such as training documents, handbooks, or other shared documents—anytime that they are logged into Member Essentials.

    • Photos - Posting group photos can help you keep your members engaged. You can post photos of women in action to celebrate their accomplishments and motivate them to stay involved. Also, you can ensure that the posted photos are relevant by managing their captions and deleting them when needed. 

    • Leaders - indicates the number of leaders in the group and goes to the Directory

    • Members - indicates the number of members in the group and goes to the Directory

  4. Under Leader Actions, you can find a number of Administrator tools to help manage your group.
    • Directory - displays the Directory of members with search filters

    • Configuration - allows the Leader access to configure their GroupShare group. As the group leader, you can review the following configuration options: Require Volunteer Hours for Group Members, Allow Group Members to Upload Photos, Allow Members to Access Group Roster, etc.

    • Email - If you want to email your group, this will direct you to the Email Tool, where the Directory will automatically pull the list of members within that group.

    • Add Member - shows a list of members in your League in the Directory and allows you to add members

    • Remove Member - shows a list of members in your League and allows you to remove members by selecting the names of members you no longer want part of the group. If the group was created through the Position Manager, remove members through there.

    • Manage Leaders - Select multiple leaders in your group by clicking on Is a leader? and it will automatically check off Show in Leader List?. You can uncheck this option if you don't want the leader to be visible in the group.
    • Setup Calendar - Leaders can set up the calendar for the group. This will take you to the GroupShare Registration Tool Wizard, which will give you options like Allow Self Check in, Enable QR Scanning / Mobile Attendance Tracking and Enable Confirmations and Reminders.

    • Hours - Track hours for your group by adding and approving new activities related to Community Impact, Fundraising, Learning and Development and Volunteering i.e. Attending GMMs, Participating in Community Impact events like LBDI, Leadership Trainings, etc.

    • Download XLS Roster - Runs a report of your roster in Excel format

    • Download PDF Roster - Generates a roster in PDF format

    • Download Labels - Prints out a list of member names and address labels for mailing in PDF format

    • New Discussion - shortcut to Discussions

    • Mass Assign Position - shortcut to Position Mass Assign, which allows Leaders to assign multiple people to a position i.e. when they need to assign members to be part of the Membership Committee

    • Historical Forms - shows a list of archived forms built through GroupShare's Form Builder. To archive a form, click on the trash icon.
    • Historical Events - shows a list of archived events created from the GroupShare Registration Tool Wizard.

    • Historical Files - currently hidden from the live GroupShare, but this will show a list of archived files uploaded to the GroupShare group.
