This article will walk you through how to create a recurring shift/event. This allows you to create a shift/event once and it will repeat at whatever increment you choose (i.e., if you have a Thrift Shop shift every day at 10am, you can use this function to create the event/shift once and it will create recurring shifts/events for it!)


Required access:

You will need the Registration Administrator access level.


How to get there:

  • Go to Admin Member Management 
  • Select the Registration Tool Manager
  • Click Recurring for the registration tool you are creating a recurring event/shift for 


Steps to be taken:


Locations should be added first in Registration Tool Manager > Add Location before creating shifts/events/meetings. 


Adding Basic Registration Information

1. Click Add Shift

2. For Start Date, enter what day the recurring shifts begin (i.e., if the recurring shift is every day in March, the 'Start Date' would be March 1)

3. For End Date, enter what day the recurring shifts end (i.e., if the recurring shift is every day in March, the 'End Date' would be March 31)

4. For Start Time enter the time each recurring shift starts (i.e., if the recurring shift is from 10am-11:30 am everyday, you would write 10:00 am as the 'Start Time')



Defining When the Events/Shifts Begins and Ends

  • For Shift Duration in Hours, you would write out how long the shift is in hours (i.e., if the recurring shift is from 10am-11:30am everyday, you would write 1 as the Shift Duration in Hours)
  • For Shift Duration in Minutes, you would write out how long the shift is in minutes (i.e., if the recurring shift is from 10am-11:30 am everyday, you would write 30 as the Shift Duration in Minutes)



Defining the Date Intervals for the Recurring Events/Shifts

  • For Choose Date Interval Type, this is where you decide if this shift happens during a certain day of the week or a certain day of the month
    Note: If you select Day of Week from Choose Date Interval Type a dropdown called Frequency will appear. From here, you would choose if this recurring shift happens every week, every other week, or during a certain week each month. If you select Day of Month from Choose Date Interval Type, a dropdown called Days of Month will appear. From here you would choose which day/days of the month this shift/event occurs 
  • For this example, we will select Day of Week from the Choose Date Interval Type dropdown, and Every Week from the Frequency dropdown
  • For the next dropdown, Day of Week, you will choose which days of the week this shift/event (i.e., if this shift was every Monday and Wednesday, you would select Monday and Wednesday from the Day of Week options)



Set Number of Days to Schedule Ahead

  • Number of Days to Schedule Ahead is where you define how far in advance you want these shifts to appear (i.e., if you have a shift every Tuesday for a year, you may want them to be only be available for sign up 30 days in advance)


Defining How Early You Can Sign Up for the Event/Shift

  • Sign Up Start Days Before is where you define how soon before a shift/event starts a person can sign up (i.e., if you want people to only be able to sign up a week before a shift, you would enter the number 7 here)
  • Sign Up End Days Before is where you define how soon before the event/shift that sign up ends



Adding Basic Registration Information

  • Registration Name is where you add the name of your registration (i.e., Monday Shop Volunteer)
  • Event Image is where you can add an image for your registration
  • Document is where you can add a document to the description of your registration
  • Min Reservations is where you can define the minimum number of people needed for this registration
  • Max Reservations is where you can restrict how many people can sign up for this registration
  • Enable Waitlist is where you can choose whether or not to allow members to sign up to be on a waitlist if the maximum reservations has been reached
  • Member Cancellation (this appears if Enable Waitlist is set to 'Yes') allows you to choose how waitlist people move to the list registrations. The options are:
    1. Notify administrators who then would manually add a person to the list of registrants
    2. Automatically add first person on waitlist after a cancellation 



Adding Additional Information

  • Description is where you can add a description for your registration
  • Registration Access is where you can pick an access group to restrict sign up for this recurring registration to
  • Select Location is where you can choose the recurring registration's location from a pre-built list (there is also an 'add location' button where you can add a pre-defined location to the list of options for this and future registrations)
  • Other Location is where you can write in your location rather than use one from the pre-built list


Advanced Features

  • Other Site Registration URL is where you can provide a hyperlink to an outside site for users to register (i.e., a city event where the sign up is on an external site like EventBrite) 
    Note: this will not note any sort of registration/attendance, etc. in Member Essentials
  • Type is where you can pick your registration type. The options are Sign Up, Information Only, RSVP.
  • Calendar Color is where you can customize the color of the event when it appears on the calendar. 
    Note: this will override the system default colors (i.e., the registration shows as blue when open, green when you are registered, yellow if you're on the waitlist, etc.)
